DOCUMENT GUIDE

How to prepare a document clearing enquiry

Start with clear information to make your request easier to review.

How to prepare a document clearing enquiry

A useful enquiry does not need a long story. It needs organised facts. Use this guide to prepare a description that helps the team understand the transaction and identify what needs review.

Begin with the intended outcome

Instead of saying only “I need paperwork processed”, name the document, purpose and receiving entity. If you do not know the procedure’s name, describe the outcome.

  • What is the document and who issued it?
  • Who will receive it, and in which country?
  • What exactly has the recipient asked for?

Record what has already been done

Note any previous translation, attestation or submission involving the document. This helps establish the starting point and distinguish an older record from a revised version.

  • Issue date and any updated version.
  • Previous steps or comments from a relevant entity.
  • Number of documents and whether they share the same purpose.

Explain the deadline

If a date relates to employment, travel or an application, explain the reason. Feasibility is assessed against the documents and entities involved; entering a target date does not confirm completion by that date.

Review before sending

A brief check can reduce unnecessary correspondence after submission.

  • Confirm your email address and phone number.
  • Check entity names and required languages.
  • Include relevant instructions without passwords or payment details.
  • Keep the reference shown once the request is recorded.
